What we keep about you and your guests, why, where it is, and how to have it changed or removed.
1. Who we are
Dhow is a system for restaurants, cafés, guesthouses, hotels and resorts, made in the Maldives. "We" in this notice is Dhow. You can reach us at hello@getdhow.com.
2. What we keep when you contact us or sign up
When you book a demo or sign a business up, we keep what the form asks: the business name and kind, the island, your name, mobile number and e-mail address, the address you chose for your system, the modules you want and any note you write.
To stop automated abuse we also keep a scrambled form of the internet address the form was sent from. It cannot be turned back into the address, and we use it only to count requests.
We use these details to answer you, to set up and support your system, and to tell you about changes to it. We do not sell them and we do not use them for advertising.
3. The data inside your system
Your system holds what your business puts into it: your menu, orders, bills and payments, your staff and — when your guests give them — guest names, phone numbers, delivery addresses, allergies and, for hotels, the passport details the law asks you to record.
That data is yours. You decide what goes in and who on your team sees it; we handle it only to run, back up and support your system, and to fix problems you report.
Each business has its own database. One business never sees another business’s data.
4. Where it is kept
Our servers are in Singapore, run by OVHcloud. Every database and every system’s files are copied every night and the copies are kept for 14 days; the server itself is also backed up by OVHcloud.
Connections to Dhow are encrypted (HTTPS). Staff passwords are stored only in a one-way scrambled form.
5. Who else handles data for us
Brevo sends our e-mails (sign-in links, and the receipts and bills your business chooses to e-mail).
WhatsApp and Viber carry the messages your system sends to guests, once a number is connected.
Bank of Maldives handles card payments on its own payment page: card numbers go to the bank, never to Dhow.
Google’s Gemini service reads menu pages and dish photos when your business uses the AI add-on (menu import, AI menu photos). Nothing is sent to it unless those features are used.
Each of these sees only what it needs for its part.
6. Cookies
The Dhow website sets no advertising or tracking cookies. The apps set cookies only to keep people signed in and to keep a guest’s order on their own phone.
7. How long we keep it
We keep sign-up and demo requests for as long as we need them to answer you and to keep a record of our work with you. Your system’s data stays while your system runs. When you leave, we give you a copy of your data on request and then delete it; the nightly copies are gone within 14 days.
8. Your choices
Write to hello@getdhow.com to see what we keep about you, to correct it, or to have it removed. Guests who want their details changed or removed should ask the business they ordered from or stayed with; we help that business do it.
9. Changes
If we change this notice we update the date at the top, and we tell our customers by e-mail when a change matters to them.
